The platform that makes a digitised archive searchable. It does not replace the compliant preservation system: it makes its contents usable by staff and by citizens.

The problem, before the solution
Digitisation discharges an obligation and frees physical space. It does not, in itself, reduce the time needed to retrieve a record: an archive converted into unindexed images is a store that has changed medium.
Anamnesis addresses that gap. The digitised holding is indexed by structured field, made searchable in natural language and linked, where the nature of the record allows, to its position on the ground.
Functions
- Extraction with confidence scoring
- Every field extracted from a document carries a confidence value that can be inspected. Staff know which values can be relied on without checking and which require reference to the original image. A system that does not declare its own uncertainty cannot be used in an administrative procedure.
- Semantic search
- Queries are expressed in natural language and require no prior knowledge of archival structure or shelfmark. Results remain traceable to the file they came from.
- Geographic anchoring
- Records containing territorial references — addresses, land parcels, place names — are placed on a map. Searching by area replaces searching by name when the name is not known.
- Digital identity and payments
- Access through SPID and CIE for external users and for internal staff. Integration with pagoPA for procedures involving search or reproduction fees.
- Interoperability
- Documented programming interfaces to the systems already in use: records management, document management, territorial information systems. The platform sits alongside what exists and does not require its replacement.

Obligations covered
- Compliance with AgID guidelines on the creation, management and preservation of electronic records.
- Processing as processor under Article 28 of Regulation (EU) 2016/679, with a written appointment and documented instructions.
- Access logging and audit trails on document operations, available to the controller.
- ISO/IEC 27001, ISO/IEC 27017 and ISO/IEC 27018 certification covering information security management and personal data in cloud environments.
- No supplier lock-in: ending the relationship does not impair availability of the information assets.
One counterpart
Digitisation and platform come from the same supplier. It follows that decisions taken during capture — resolution, colour management, metadata schema — are already made with later retrieval in mind, and that responsibility for a faulty extraction cannot be divided between separate parties.
The platform can nonetheless be adopted for holdings digitised by others, subject to a quality check on the available images and metadata.
A demonstration on real records
The most useful demonstration runs on a sample of the authority’s own records, not on example data. A small batch is enough to make the result measurable.
